Separate long-form and quick model work, give prompts the context they need, edit the Markdown, and regenerate freely while every completed version remains available.

Configure a provider and model

  1. Open Settings > AI Models. Select AWS Bedrock or Ollama.
  2. Configure the connection. Bedrock uses the shared profile and region in Settings > AWS. Ollama defaults to http://localhost:11434 and can point to another reachable host.
  3. Fetch models. The picker reflects models available to the configured account or Ollama server.
  4. Select a Notes model. Use Test Connection before relying on it during a meeting.
  5. Optionally select a Quick model. Leave it empty to use the Notes model for all model-assisted tasks.

Understand the two model roles

Amazon Bedrock and remote Ollama hosts receive the prompt, transcript, and included meeting context. Local Ollama keeps that request on the Mac hosting the server. Review privacy and data flow before selecting a provider.

Generate notes

After a transcript exists, Meeting Maid builds the selected prompt, adds people and vocabulary context, and streams Markdown into the Notes tab. Choose Generate Notes between the version picker and note actions to regenerate.

  • Each successful generation creates a new version rather than overwriting the previous one.
  • The version picker records prompt, model, and creation time.
  • Delete removes only the selected version.
  • Copy, manual notes export, and ZIP export use an unsaved editor draft when one is visible.
  • A generation or version switch does not silently replace an unsaved draft.

Let Meeting Maid choose an initial prompt

For the first note version, exactly two detected speakers use a prompt marked 1:1 when there is no invitation or the invitation also has two people. Other nonempty speaker or invitation evidence uses a General prompt. With no evidence, the configured default is used.

Standup is never inferred. Choose Standup or any other prompt explicitly from Generate Notes; an explicit regeneration choice always wins.

Customize prompts

Settings > Prompts includes General Meeting Notes, Standup Summary, and 1:1 Notes. Built-in prompts can be edited but not deleted. Use the plus button to add a custom prompt.

  • Use {{transcript}} where the timestamped transcript should appear.
  • Use {{speakers}} where people, pronouns, and speaker context should appear.
  • If a prompt omits {{speakers}}, available context is prepended automatically.
  • Give each prompt a meeting type and optionally make it the default.
  • Be explicit about sections, tables, action-item ownership, tone, and treatment of unclear speech.

Add people and vocabulary

Open Settings > Meeting Context to define recurring people and domain terms. This context is included in note-generation requests.

Add frequent participants. They become speaker-name suggestions and model context.

Add product names, acronyms, jargon, and optional explanations for correct usage.

Read the attendance section

A calendar-matched note includes an Attendance section directly below the opening summary, or first when the prompt creates no summary.

  • Invited comes from the snapshot stored when the match was applied; declined attendees are excluded.
  • Heard speaking includes people identified in the transcript plus a count of unplaced speakers.

These lists are intentionally different. An invitee may not speak, and a speaker may not have been invited. An unmatched recording has no Attendance section; match it and generate another version.

Edit Markdown and update stale notes

  • Choose the pencil action in the Notes tab to edit raw Markdown.
  • Choose Done to save and return to rendered notes.
  • Copy or export while editing to use the current draft, even before Done.
  • A later calendar match or speaker-name change marks older notes stale.
  • Choose Update notes to create a new version with current context; the old version remains available.

Managed note versions are stored under ~/Library/Application Support/MeetingMaid/Notes/.
