Correct titles and classification metadata, then search across calendar context, speakers, transcript text, metadata, and every note version using a local semantic index.
Edit meeting details
Select a meeting and choose Edit Details beside its title, or right-click its sidebar row and choose Edit Details.... You can change the required title plus optional customer, category, subcategory, and topic metadata.
- Titles can contain up to 100 characters.
- Customer, category, and subcategory can contain up to 120 characters each.
- Separate topics with commas or line breaks; enter up to 12, with 40 characters per topic.
- A title you save is protected from automatic title generation and calendar replacement.
- Metadata you change is protected from later automatic classification.
- Clear optional fields when you want those values removed.
Existing published files are not renamed or rewritten. A later export or publication uses the title and metadata currently stored in Meeting Maid.
Search meeting content
Use the search field above the main-window sidebar. The searchable corpus includes:
- Meeting titles and generated or manually edited customer, category, subcategory, and topic metadata
- Organizer, source calendar, and attendees
- Named speakers and note types
- Every timestamped transcript segment
- Every managed note version, not only the current one
Results combine case- and diacritic-insensitive lexical matching with Apple's on-device English sentence embedding. They are ranked by relevance and show the strongest source plus a snippet. If the embedding is unavailable, lexical search still works.
Understand the local search index
The first nonempty query builds the index on demand, so a large library can take longer the first time. Unchanged entries are reused. Search does not call Bedrock or Ollama.
Search text chunks and optional vectors stay on this Mac under
~/Library/Application Support/MeetingMaid/SearchIndex/.
Deleting a meeting through Meeting Maid removes its search cache.
Regenerate metadata explicitly
Right-click a recording and choose Regenerate Metadata. Meeting Maid reads the saved transcript, replaces customer, category, subcategory, and topic metadata, and saves it without changing notes or exports. If you edited the metadata manually, Meeting Maid asks for confirmation before replacing it.
If generation or persistence fails, the existing searchable metadata remains in place.
Review usage on the Dashboard
Select Dashboard at the top of the sidebar and switch between Current Year and All Time. The local ledger reports:
- Finalized recording time for live Meeting Maid recordings
- Count of live meetings recorded
- Durable note versions generated, including regenerations and notes for imported media
Imported media does not add recording duration or a recorded-meeting count. Deleting a meeting does not subtract historical activity.
Control usage statistics
Collection is on by default in Settings > General. An eligible upgrade imports existing live recordings and note versions once.
- Turning collection off retains current totals but stops new events.
- Turning it back on resumes from that point; the disabled period is not backfilled.
- Clear Usage Statistics resets both current-year and all-time totals after confirmation.
- Clearing cannot be undone or rebuilt from old meeting history.
- Clearing does not delete recordings, transcripts, notes, or exports.
The independent event ledger stays on this Mac at
~/Library/Application Support/MeetingMaid/UsageStatistics.sqlite.
Delete a meeting safely
Swipe left on a meeting or use its context menu, choose Delete Recording, and confirm. Meeting Maid sends managed audio, transcript, note files, and search cache to Trash before removing the library record.
Deleting a meeting does not remove Markdown already published to an external plain folder or Obsidian vault. Remove those copies separately when required.
Preserve or reclaim source audio
Source audio is kept forever by default. If you prefer a shorter window, use Settings > Recording > Source Audio Retention to preview, Apply, and confirm cleanup without removing meeting history, transcripts, or notes. See Control source-audio retention.
